2. What data do we collect?
We only collect data that is necessary for our services: Data you provide yourself: • Identity and contact details: first name, last name, email address, phone number • Address details: location of the assignment (street, postcode, municipality) • Business details (B2B): company name, VAT number, company registration number, PEPPOL identification • Project information: selected service, options, preferred date, notes • Communication: messages via email, phone, WhatsApp or live chat Data collected automatically: • Technical data: IP address, browser type, device, pages visited • Cookie preferences and session data • Payment status (via our payment provider, without us storing full card details) We do not collect special categories of personal data, unless you voluntarily mention them in notes.
3. What do we use your data for and on what basis?
We process your data solely for the purposes listed below: • Processing your request and follow-up (performance of contract / pre-contractual steps) • Preparing and sending quotes, confirmations and invoices (legal and contractual obligation) • Planning and execution of shoots and inspections (performance of contract) • Delivery of imagery, reports and files via our customer portal (performance of contract) • Payment processing and accounting (legal obligation) • Customer service and communication (performance of contract / legitimate interest) • Website assistant: answering common questions and optional contact form (legitimate interest / pre-contractual steps) • Website improvement via analytical cookies, where you have given consent (consent) We do not use your data for automated decision-making with legal consequences.
4. With whom do we share your data?
We never sell your data to third parties. We only share data when necessary: • IT hosting and infrastructure (VPS in the EU) • Email via Resend (transactional emails and communication) • Payment processing via Mollie (online payments — we do not store card details) • Accounting, invoicing and PEPPOL exchange (where applicable) • Calendar synchronisation via Google Calendar (if activated by AgDrones) Our website assistant and live chat run on our own infrastructure (EU servers), not via external chat platforms. These parties act as processors on our behalf and process data only in accordance with our instructions and under an appropriate data processing agreement, where legally required.
5. Transfers outside the European Economic Area
We aim to process your data within the EEA. Some service providers (such as Google) may also process data outside the EEA. In that case, we ensure appropriate safeguards in accordance with the GDPR, such as standard contractual clauses of the European Commission or processing within an adequacy decision.
6. How long do we retain your data?
We do not retain data longer than necessary: • Requests without a contract: maximum 12 months • Customer and assignment data: for the duration of the contractual relationship and thereafter 3 years for follow-up and disputes • Invoicing and accounting data: 7 years (legal obligation) • Cookie preferences: until changed or deleted by you • Messages via our website assistant: maximum 12 months After the retention period expires, data is securely deleted or anonymised.
7. How do we secure your data?
We take appropriate technical and organisational measures to protect your data against loss, misuse or unauthorised access. This includes, among other things, secure connections (HTTPS), access restrictions, backups and limited access to customer data for authorised personnel. No method of transmission or storage over the internet is 100% secure. We cannot guarantee absolute security, but we continuously work to improve our security.
8. Cookies and similar technologies
Our website uses cookies and similar technologies. Essential storage is required for the site to function (such as session management, cookie preferences and, when you open the assistant, resuming your conversation). 11. Minors
Our services are aimed at individuals and businesses requesting professional drone imaging or inspections. We do not knowingly collect data from children under 16 years of age. If you suspect we have collected such data, please contact us so we can delete it.

We may update this privacy policy when our services, legislation or processing practices change. The most recent version is always available at agdrones.be/privacy. For significant changes, we will inform you where possible via the website or by email.
